Digitization involves so many\ndifferent steps and tasks done in particular order that it can be difficult to\nconceptualize.&nbsp; Usually, it helps to walk\nsomeone through a loose workflow, to help them understand what it means to\ndigitize, from step one to step done. <\/p>\n\n\n\n<ol class=\"wp-block-list\"><li>Project planning<\/li><li>Physical preparation<\/li><li>Preliminary metadata collection<\/li><li>Quality checking<\/li><li>Imaging &amp; additional metadata collection<\/li><li>Quality checking (again)<\/li><li>Post-processing<\/li><li>Quality checking (again again)<\/li><li>Data cleanup and preparation <\/li><li>Posting\/sharing\/storing<\/li><\/ol>\n\n\n\n<p>Keep in mind that each of these steps is done for every\nsingle box we hope to digitize.&nbsp; That\u2019s\nten steps, and we haven\u2019t even gotten into the weeds yet!&nbsp; Let\u2019s break it down a little further (emphasis\non \u201ca little\u201d) to give an overview of what this looks like in practice.<\/p>\n\n\n\n<p><strong>Steps 1-3: Project Planning, Physical preparation, and\nPreliminary metadata collection.&nbsp; <\/strong><\/p>\n\n\n\n<p>I\u2019ve already talked your ears off\nabout these steps, so rather than go back over it, suffice it to say all of\nthis is done before even approaching a camera, and it entails going through\nevery box and, in some cases, every document in that box.&nbsp; Ah, yes,\nyou\u2019ll notice this shows up more than once in our ten-step list.&nbsp; This first time it pops up, what we\u2019re\nusually checking is the preliminary metadata.&nbsp;\nThat\u2019s when we go back over a portion of the material that\u2019s been\ncompleted and we check every single field of metadata again to ensure that it\u2019s\ncorrect.&nbsp; At the beginning of a project,\nor when someone new joins the team, we check 100% of the work that\u2019s done.&nbsp; As the process and metadata gatherer improve\nand fewer errors are made, we can scale back to checking around 10% of the\nmaterial.&nbsp; Of course, in a box with 700\nitems, 10% is still that 70 documents and each document has 15-20 fields of\nmetadata, so it\u2019s no quick task!&nbsp; And\nyet, this step is central to making sure that the data we get is useful and\naccurately matches the documents we\u2019re hoping to digitize.<\/p>\n\n\n\n<p><strong>Step 5: Imaging &amp; additional metadata collection<\/strong><\/p>\n\n\n\n<p>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; This is\nthe part most people think of when they think of \u201cdigitization\u201d\u2014the part where\na person sits at a scanner and spends the day putting documents on and taking\nthem off.&nbsp; First qualifier to that, I\nsaid \u201cimaging,\u201d not \u201cscanning\u201d on purpose! As I\u2019ve mentioned previously, a\ngreat deal of digitization these days is done with a camera, not a\nscanner.&nbsp; That way, you can just click\nright along.&nbsp; Here in SCRC, one camera\nenables us to take about 1,000 pictures a day of standard-size archived\ndocuments.&nbsp; Second qualifier,\ndigitization is actually a very active process.&nbsp;\nYes, you go in order and take picture after picture of various papers,\nbut while you do that, you are checking against existing metadata and adding\nmetadata from imaging (for instance, how many images exist for one item; one\npaper with writing on the front and back will actually be two images).&nbsp; Throw in the fact that, for many collections,\nthe papers come in a variety of sizes, all of which need to be fit to frame,\nand you can see that this actually requires paying very close attention to what\nyou\u2019re doing!<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" width=\"842\" height=\"631\" data-attachment-id=\"8920\" data-permalink=\"https:\/\/vault217.gmu.edu\/?attachment_id=8920\" data-orig-file=\"https:\/\/i0.wp.com\/vault217.gmu.edu\/wp-content\/uploads\/2019\/11\/CS.jpg?fit=842%2C631&amp;ssl=1\" data-orig-size=\"842,631\" data-comments-opened=\"1\" data-image-meta=\"{&quot;aperture&quot;:&quot;0&quot;,&quot;credit&quot;:&quot;&quot;,&quot;camera&quot;:&quot;&quot;,&quot;caption&quot;:&quot;&quot;,&quot;created_timestamp&quot;:&quot;0&quot;,&quot;copyright&quot;:&quot;&quot;,&quot;focal_length&quot;:&quot;0&quot;,&quot;iso&quot;:&quot;0&quot;,&quot;shutter_speed&quot;:&quot;0&quot;,&quot;title&quot;:&quot;&quot;,&quot;orientation&quot;:&quot;0&quot;}\" data-image-title=\"CS\" data-image-description=\"\" data-image-caption=\"&lt;p&gt;One of our magical digitizing machines. Photographer not included.<\/figcaption><\/figure><\/div>\n\n\n\n<p><strong>Step 6: Quality checking (round 2)<\/strong><\/p>\n\n\n\n<p>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; Again?\nDidn\u2019t we just do this in step 4? Yes, but this time, we\u2019re checking to make\nsure that we imaged all the pages included in a box or folder and didn\u2019t miss a\npage or duplicate a page (or catch our fingers in the frame).&nbsp; Like with the metadata quality checks, we\ncheck 100% of the images at first, then taper down as we get better.<\/p>\n\n\n\n<p><strong>Step 7:\nPost-processing<\/strong><\/p>\n\n\n\n<p>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; A lot of\nsmaller tasks fall under this step and it can be very project-dependent.&nbsp; For C-SPAN, post-processing includes creating\nderivatives, cropping and rotating, and redacting.&nbsp; When we take images, we usually take them in\nTIFF format, because they are high-quality and contain a lot of data!&nbsp; The problem is that they\u2019re huge and it is hard\nto actually use them online or send them to people.&nbsp; Instead, we use the TIFFs to make smaller\nfiles with less data (in our case, JPEGs), and then store the TIFFs in case we\never need more copies of the image.&nbsp; The\nJPEGs are also the copies that we crop and rotate so they look nice for all of\nyou later.&nbsp; For the C-SPAN viewer mail,\nwe have an additional step in post-processing: redaction.&nbsp; Obviously, when people wrote in to C-SPAN,\nthey usually included their names and addresses.&nbsp; Since we don\u2019t want to share that information\nwithout their permission, we just wipe it off one of the derivative files.&nbsp; It sounds easy, but it has to be done\none-by-one for all roughly 400 letters in a box!&nbsp; <\/p>\n\n\n\n<p><strong>Step 8: Quality\nchecking (round 3)<\/strong><\/p>\n\n\n\n<p>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; Yep,\nonce again we have to check.&nbsp; Mostly,\nthis time, we are checking the redactions to confirm all personal information\nhas been removed.&nbsp; The better we get, the\nfewer we need to check!<\/p>\n\n\n\n<p><strong>Step 9: Data cleanup\nand conversion<\/strong><\/p>\n\n\n\n<p>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; After\nALL the metadata for ALL the images in ALL the boxes is done, we have to go\nthrough and prepare that metadata for publishing with the images.&nbsp; That type of cleanup includes standardizing\nformats and terms used in each field so it\u2019s all uniform.&nbsp; Then, we turn that metadata spreadsheet into\nanother type of file that we can load onto our hosting platform and pair with\nthe accompanying images of documents.&nbsp;\nLuckily, for this step, a lot can be done by computers!<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"aligncenter\"><img data-recalc-dims=\"1\" loading=\"lazy\" decoding=\"async\" width=\"744\" height=\"294\" data-attachment-id=\"8919\" data-permalink=\"https:\/\/vault217.gmu.edu\/?attachment_id=8919\" data-orig-file=\"https:\/\/i0.wp.com\/vault217.gmu.edu\/wp-content\/uploads\/2019\/11\/Alive.jpg?fit=744%2C294&amp;ssl=1\" data-orig-size=\"744,294\" data-comments-opened=\"1\" data-image-meta=\"{&quot;aperture&quot;:&quot;0&quot;,&quot;credit&quot;:&quot;&quot;,&quot;camera&quot;:&quot;&quot;,&quot;caption&quot;:&quot;&quot;,&quot;created_timestamp&quot;:&quot;0&quot;,&quot;copyright&quot;:&quot;&quot;,&quot;focal_length&quot;:&quot;0&quot;,&quot;iso&quot;:&quot;0&quot;,&quot;shutter_speed&quot;:&quot;0&quot;,&quot;title&quot;:&quot;&quot;,&quot;orientation&quot;:&quot;0&quot;}\" data-image-title=\"Alive\" data-image-description=\"\" data-image-caption=\"\" data-medium-file=\"https:\/\/i0.wp.com\/vault217.gmu.edu\/wp-content\/uploads\/2019\/11\/Alive.jpg?fit=240%2C95&amp;ssl=1\" data-large-file=\"https:\/\/i0.wp.com\/vault217.gmu.edu\/wp-content\/uploads\/2019\/11\/Alive.jpg?fit=300%2C119&amp;ssl=1\" src=\"https:\/\/i0.wp.com\/vault217.gmu.edu\/wp-content\/uploads\/2019\/11\/Alive.jpg?resize=744%2C294&#038;ssl=1\" alt=\"\" class=\"wp-image-8919\" srcset=\"https:\/\/i0.wp.com\/vault217.gmu.edu\/wp-content\/uploads\/2019\/11\/Alive.jpg?w=744&amp;ssl=1 744w, https:\/\/i0.wp.com\/vault217.gmu.edu\/wp-content\/uploads\/2019\/11\/Alive.jpg?resize=240%2C95&amp;ssl=1 240w, https:\/\/i0.wp.com\/vault217.gmu.edu\/wp-content\/uploads\/2019\/11\/Alive.jpg?resize=300%2C119&amp;ssl=1 300w\" sizes=\"auto, (max-width: 744px) 100vw, 744px\" \/><\/figure><\/div>\n\n\n\n<p><strong>Step 10:\nPosting\/sharing\/storing<\/strong><\/p>\n\n\n\n<p>Finally!!!!
